Download an Export of Your Google Drive using Google Takeout

We are nearing the end of the school year. Like you didn’t already know that. One commonly asked question is how do we allow students to keep their files when they graduate or leave our school district. Similar questions are asked about when staff leave our district.

Well, if their files are in Google Drive they can export them using Google Takeout.

Whether you are graduating, changing schools, or changing jobs, you probably want to take your Google Docs, Sheets, Slides and other files with you. Download your files using Google Takeout. #Takeout #Gsuite #Google #teacher #export

Google Takeout

  1. First go to Google Takeout
  2. If you are not already signed into Chrome with your school Google account, click on the Sign In  button in the top right corner of the screen. Once you sign in, you may need to click the link above again to get to Google Takeout.
  3. Next you can select what data you want to backup. By default everything is selected.
  4. At the bottom of the screen, click Next
  5. Now you will select how you want to get your files.Capture
  6. By default the file type will be a .zip file. The one zip file will contain all of your files from Google Apps including Drive.
  7. For the Delivery Method, I recommend the Send download link via email option
  8. Click Create Archive
  9. Depending on the amount/size of files you have the archive will take awhile to be created. You will see a progress bar on the screen2
  10. Once the archive is complete, your will receive an email with the link to download it. You will also see a download button on the screen as well as the “Available until” date.3
  11. The downloaded file will contain folders for the different Google apps included in the archive. It will include a file called index which will show you what files were backed up.4
  12. At this point its up to you where to store the files such as a flash drive, a personal computer, or you could upload them to a personal Google account. One thing to keep in mind, you have unlimited Drive storage with your school Google account. Personal accounts are not unlimited. So you may not have enough free storage to upload everything to your personal account without buying more storage space.
